FARM JOB: BC – BC Honey Producers Association, Administrator

The BC Honey Producers Association is seeking to hire an Administrator!

Scope and Level Definition:

Part time position, operating from a home office, performing administrative support functions for the B.C. Honey Producers Association and its Technology Transfer Program, including report generation, bookkeeping, payroll, general word processing, data entry.

Functions and Responsibilities

  1. Performs reception and email duties for the program, receiving and relaying messages, and responding to email and telephone inquiries. Reports to the Tech Transfer Lead and BCHPA executive.
  2. Performs general word processing and data entry functions such as inputting information into relevant computer systems, maintaining relevant registers, and typing from rough draft or general instruction, including correspondence, reports, and documents.
  3. Performs bookkeeping services for the program, including recording and reconciling expenses and incomes, and provides a regular update of the program’s budget to the BCHPA.
  4. Performs general record management duties such as organizing and distributing files.
  5. Receives, records, sorts, and distributes incoming and outgoing mail, faxes, internal correspondence, and courier documents. Signs for receipt of packages and shipments.
  6. Performs office functions, including booking and setting up meetings, and video calls.
  7. Assists with filing of grant opportunities and recording of grant outcomes.
  8. Receives, records, checks, and balances cash transactions, including receiving payments, issuing receipts, and maintaining petty cash account.
  9. Performs payroll duties for the Tech lead, staff and admin positions, and general timekeeping functions such as tracking hours, and reviewing timesheets for accuracy. Operates office equipment such as photocopiers and possibly fax machines, and carries out maintenance such as loading paper, removing paper jams, cleaning glass, and changing toner cartridges. Refers further maintenance required to supervisor.
  10. Assists with client intake by performing duties such as obtaining client information and completing documentation required. Schedules and confirms clients for appointments and maintains waiting lists.
  11. Performs other duties as assigned.

Qualifications:

Typical Education Training and Experience

  • Grade 12
  • Office Assistant Certificate
  • Recent or related experience of six months
  • OR an equivalent combination of education, training and experience
  • OR other qualifications determined to be reasonable and relevant to the level of work
  • Experience with or understanding of beekeeping is an asset
  • Experience with updating a WordPress website is an asset
  • Experience with data entry for scientific research projects is an asset

  • Ability to communicate effectively, both verbally and in writing
  • Physical ability to carry out the duties of the position
  • Motivated to work independently with minimum supervision in cooperation with remote colleagues and board members
  • Ability to operate related programs and equipment
  • Excellent attention to detail and deadlines
  • Ability to organize and prioritize
  • Ability to type proficiently
  • Knowledge of general office procedures
  • Familiar with bookkeeping programs such as Quickbooks or Sage
  • Familiar with office communications programs such as Zoom
  • Familiar with Google Drive and Microsoft Office, including Word, Excel and Powerpoint, and able to learn new applications.
  • Must have home office with reliable internet access and phone. A laptop and printer/scanner will be supplied if needed.

Job Details

This will be a part-time position with hours that may vary but are expected to be 10-15 hours/week.  Occasional evening and weekend work may be required.  Initially, the candidate will be based out of a home office, but this will likely change as the Tech Transfer Program becomes established.

Remuneration will be in the range of ($25-$30) per hour, based on level of experience.
